We are seeking an Executive Assistant to be based out of our Chicago, IL location.

    Responsibilities

    SUMMARY:

    The Executive Assistant is a regular employee in a full-time non-exempt position at Adello Biologics, LLC, in Chicago, IL. This employee will administratively support a variety of senior management officers, and should be experienced working in a corporate environment and managing multiple calendars and work streams concurrently. This position will act as the first face to customers and an ideal candidate would be detail oriented, flexible and proactive.

     

    Essential Duties and Responsibilities:

    • Support to various Upper Level Executives
    • Calendar handling - proactively make appointments and organize calendar to ensure efficient use of time
    • Handle inbox - access mail to ensure urgent and important mail is escalated
    • Deal with external and internal correspondence
    • Screen telephone calls
    • Contribute to the building of good working relationships, both internally and externally
    • Support Admin in filing activities
    • Travel Arrangements
      • Organize manager and team travel including booking flights, transfers and accommodation
      • Process Visa applications
      • Negotiate and arrange most cost effective routes and rates
    • Meeting and event management
    • Arrange meetings including sending invites, booking rooms, technology and refreshments.
    • Ensure appropriate meeting content is compiled and distributed in a timely fashion
    • Setup audio visual equipment, communicating with IT to ensure effective and timely use
    • Data management and tracking
    • Process expenses
    • Organize and store paperwork, documents and computer-based information (including archiving)
    • General, Technology and Facilities
    • Stay up-to-date on company policies and procedures to ensure compliance by managers and teams
    • Ad-hoc tasks, e.g. filing, receiving and distributing faxes, photocopying, binding, organizing couriers
    • Distribute mail to teams
    • Call handling for team where appropriate
    • Own internal and external queries and information requests in order to proactively respond/take action
    • Maintain local office supplies/assist with inventory
    • Provide support as required to cover for colleagues in other areas of the business

    Qualifications

     PREREQUISITES:

    Education:

    • At least a high school diploma. A Bachelor’s degree is strongly preferred.

     Experience:

    • Experience with the administrative environment.
    • Experience with domestic and international travel and scheduling.
    • Demonstrated business acumen.

     

    SPECIALIZED KNOWLEDGE AND SKILLS:

    • Exceptional skills with Microsoft Office software, such as Microsoft Word, Excel (including pivot tables and V-Lookup), Microsoft PowerPoint (strong presentation skills), Microsoft Word, and Microsoft Outlook (calendar management).
    • Basic awareness of AV equipment setup.

     

     WORK ENVIRONMENT AND PHYSICAL DEMANDS:

    General Work Environment:

    • Standard office environment at a reception desk.
    • Must be able to work extended hours or weekend hours, as may be required

     

    Noise:

    • No extraordinary noise levels.

     

    Standing/Lifting:

    • Must be able to lift at least 25 lbs.

     

    Visual:

    • No special requirements.

     

    Stress:

    • High paced demanding environment to meet ambitious project goals.

     

    Travel:                                                       

    • No travel required.
